Two arrivals, one record

The goods and the bill come separately.

Cartons to whoever is at the shutter. The bill by email, or weeks later. Most businesses keep a careful record of the second and none at all of the first.

What that costs

You ordered a hundred. Ninety-two came.

The bill still says a hundred. Nobody compared them, because the person who counted the cartons is not the person who paid — and between them there was only a memory.

The quieter one

The rate on the bill is not the rate you agreed.

Never wrong enough to notice on a single line. Repeated across every purchase for a year.

Three numbers, not two

Ordered. Received. Billed.

Ordered against received is short supply. Received against billed is the expensive one — paying for stock that is not in your godown. Order rate against billed rate is price drift.

In BizGST Pro

Receive against the order, line by line.

The Goods Receipt screen shows what was ordered, what has already come, and what is still pending. Part deliveries are normal — the order stays open until every line is fully in, then moves to received on its own.

The match

All three in one row.

For each order line it puts ordered, received and billed side by side, with the order rate against the rate on the purchase bill — so the comparison is in one place instead of three.

One limit worth knowing

Stock only moves for lines linked to an item.

Recording a receipt puts the quantity into stock, because that is when the goods became yours to sell. But a line typed in as free text has no item to move against — it is recorded and matched, and stock stays where it was.
