Counting Stock, and Fixing What the Count Says

Shrinkage, a sale entered twice, goods returned and never recorded, a broken box swept up and forgotten. None of it is dramatic and all of it moves the real quantity away from the recorded one. A physical count is the only thing that tells you the size of the gap, because no amount of careful data entry reveals an error that was never entered.

The counting is the easy half

Most businesses manage the walk around the shelves. What goes wrong is afterwards: a list of differences on paper, a plan to fix the system later, and later never quite arrives. By the next count the old differences have merged into the new ones and nobody can tell which is which.

So the fix has to happen in the same sitting

Counted quantity in, difference visible immediately, adjustment posted before you walk away. If the correction is a separate task it becomes a task that is owed, and stock corrections owed are stock corrections not done.

Why the movement matters more than the correction

Setting the number right is the obvious part. The movement is the part that survives. Six months later, when a figure looks wrong, the difference is a row in the stock ledger with a note saying what it was and what it became — not an unexplained jump. Every change is also captured by the database's own audit trail, which records who made it and when, and cannot be edited afterwards.

Two limits worth knowing before you start

  • Only items with stock tracking switched on appear. An item you never enabled tracking for has no system quantity to disagree with, so it will not be listed and will not be adjusted.
  • The value of a difference uses the item's average cost where one exists and the selling price where it does not, so on items you have never purchased through the system the value column reads high.

A practical order of work

Count a section at a time rather than the whole shop, and post each section before starting the next. Partial counts are fine — items you leave blank are untouched, and the screen only acts on what you filled in.
