Getting Your Data Out (Before You Need To)

When people evaluate business software they test the entry: can it bring my customers across, does the invoice look right, is the billing screen fast. Almost nobody tests the exit. And the exit decides whether a decision made this year is still reversible in three.

"No lock-in" is a claim, not a feature

Every product says it. The way to check is to try to leave on day two, while you have nothing to lose — open the software, try to download your own data, and look at what actually arrives. Doing this before you commit costs an afternoon. Doing it afterwards costs whatever the data was worth.

What a real export gives you

  • Everything, not the two screens somebody got around to adding a button to.
  • A format a person can open — CSV for anything that belongs in a spreadsheet.
  • A format a machine can read — JSON keeps the relationship between an invoice and its line items, which a folder of CSVs loses.
  • On demand, by you, without raising a support ticket and waiting.

The support-ticket detail is worth dwelling on. If getting your data requires asking the company you are trying to leave, the answer is somewhere between slow and never, and it arrives when the relationship is already bad.

Where exports usually fall short

Two patterns, both common. The first is per-screen exports only: the reports have a download button, the underlying records do not, and you end up holding summaries rather than data. The second is a full export placed on a higher plan — coherent as pricing, and worth knowing before you choose rather than after.
