Software pricing pages are written to be compared favourably, not to be understood. The headline figure is usually real; what it includes rarely is. Here is what to check before the card comes out, whichever product you end up on.
Per-user or per-business?
A price that looks small can double the moment your accountant needs a login. Find out whether the number covers the business or one seat, and what the second seat costs. If your CA will be looking at the books, they are a seat.
What is the invoice cap, and what happens at it?
Most plans cap invoices per month. The question that matters is not the number but the behaviour: does it warn you, does it stop you, or does it quietly bill you extra? Being blocked mid-month is a very different product from being charged more.
Which features are actually in the price
- Inventory — often a separate tier.
- GST return summaries — sometimes an add-on.
- A portal for your accountant — frequently the paid one.
- WhatsApp or SMS reminders — often billed per message.
- Data export — occasionally restricted to higher plans, which is the one to watch.
The renewal price, not the first-year price
Introductory pricing is common and legitimate, but the number that matters is what you pay in year two. Ask for it plainly, in writing, before you commit data to the thing.
Can you leave with your data?
This is the question most people skip and the only one that is irreversible. If export is restricted, or only produces a format nothing else reads, switching later is not a decision you get to make. A product confident in its own value does not need to hold your ledger hostage.
